Senior Warehouse Office Associate

POSITION SUMMARY

Aqua-Leisure Industries is seeking a dynamic, experienced, and self-directed Senior Warehouse Office Associate to help run our busy warehouse in Avon, MA.  The Senior Warehouse Office Associate is responsible for Warehouse Office Operations as described and serves as the primary interface between the Warehouse Office and internal business partners as well as vendors.

 

RESPONSIBILITIES

Warehouse Operations

  • Track ship windows to ensure orders will ship on time.
  • Review production schedule, customer order, work order, shipping order, or requisition to determine items to be moved, gathered, or distributed.
  • Route shipments to customers using external WMS or email, ensuring adherence to specific requirements using Customer Routing Guides and/or Customer Vendor Manuals.
  • Communicate with 3rd party logistics to schedule regular pickups with carriers and call in late pick-ups.
  • Prepare documentation for all shipments including Bill of Ladings and Commercial Invoices, ensuring all information is correct including Load #'s, weight, class, description, MABD dates and carton counts.
  • Direct ASN for required customers upon shipment using SPS Commerce.
  • Prepare shipments using FedEx and UPS machines and record all tracking numbers for reference.
  • Carefully review any chargeback information to ensure adherence to guidelines, repair any issues for future orders, and communicate guidelines to responsible parties to mitigate future chargeback risk.

Documentation & Reporting

  • Create a daily Load Sheet to track of orders being shipped.
  • Provide and document Merchandise Return Authorizations and Call Tags for returns and advise Accounting of all returns.
  • Compile and send information regarding Proof of Delivery to accounting.
  • Maintain accurate and organized Warehouse Office filing system (electronic and paper).

Office Management

  • Identify areas for improved efficiency and cost savings and generate solutions to effect positive change.
  • Maintain appropriate levels of warehouse office supplies and office equipment.
  • Document and communicate changes to policy and process, ensuring all Warehouse staff remains current on Warehouse SOPs and polices. 
  • Maintain and enforce safety standards in all areas of the Warehouse, proactively addressing safety concerns to reduce incidents.
  • Assist Warehouse Manager with staff training, education, and certification activities.
  • Maintain temporary worker data and timesheets.

 

REQUIREMENTS

Education and Experience

  • 2-year college or technical degree (or a combination of education and experience)
  • 4+ years experience in a CPG warehouse environment

Skills

  • Technical: Use computer applications to manage large amounts of information, including creating and editing simple databases, inputting data, retrieving specific records, and creating reports to communicate the information.
  • Work Accuracy: Ability to verify accuracy of financial or transactional data including (i.e. audit shipping paperwork for accuracy and completeness. Strong attention to detail producing consistently accurate work results/products.
  • Communication: Good command of the English language; ability to communicate effectively with external personnel such as truck drivers, vendors, and customers; ability to read and interpret documents such as customer orders and shipping instructions; strong written communication skills with careful attention to grammar.
  • Collaboration: Ability to effectively collaborate with internal business partners.
  • Self-Management: High level of self-direction, strong organizational and time-management skills, and the ability to manage multiple projects with competing deadlines.
  • Mathematical: Excellent mathematical skills applicable to warehouse office operations (addition, subtraction, multiplication, division, percentages).

Knowledge

  • Proficiency in Microsoft Office applications and strong computer skills
  • Customer Warehouse Management Systems (WMS)
  • ERP systems for Warehouse operations (Infor/ Cloudsuite preferred)
  • Bills of lading
  • Automatic labeling systems

 

WORK ENVIRONMENT

  • Warehouse office environment; prolonged periods of standing, bending, sitting, kneeling.
  • Occasional (but infrequent) weekend, overtime and/or holiday work may be required.
  • No travel is required in this position.
